JOB DESCRIPTION

 

Job Title:             Asst. Manager - Facility Management & Administration

Reports to:          Deputy Manager - Facility Management & Administration, Pune

Role Type:           Individual Contributor

Location:             Chinchwad, Pune

 

We are looking for someone purposeful and driven, to help us excel in our Facility Management and Administration of our corporate infrastructures at Pune. The role encompasses implementation of the facility strategy at the location to create an excellent service delivery mechanism at the best cost and value proposition.

What impact will you create?

 

Key Responsibilities

 

  1. Administration Management - Partner with various SKF business teams to develop and implement effective administration policies and practices along with reviewing and updating the same on a regular basis. Develop, manage, and control the budgets and drive effective strategies for managing vendors and partners.

 

The Administration function encompasses areas of work including

 

  1. Facility Management Implementation of admin strategies for ensuring best in class facility management practices. This would include work areas like:

 

    • Soft Services Pest control, housekeeping & gardening management for the location
    • Employee engagement activities for the location
    • Overseeing the mail room & post room at the location
    • Hospitality Services Events, Conference Facilities, 
    • Stationary management Manage & standardize sourcing & supply for stationary for Pan India sites.
    • Billing & MIS Responsible to ensure timely processing of invoices & payments to vendors in time for all areas in administration. Responsible to maintain a MIS for all expenses related to Facility Management & Administration for all sites.
    • Vendor management for various services responsible
    • Space management for the location
    • Preparation & adherence to site budgets
    • Responsible for managing various audits for the function at site.
    • Responsible for supporting in transport & security management for the location
    • Leading & supporting various improvement & digitalization projects for the site.

 

  1. Execution Excellence - Lead the execution of organization wide initiatives for Facility Management & Administration function at Pune, including formulating the process, aligning key stakeholders, and overseeing the transactions on-ground.

 

  1. People Management - Build a strong team through various contractors in different service areas by creating authentic and engaging experience for the team members through touchpoints like the selection, team engagements, training interventions and supporting through day-to-day work activities.

 

  1. Partnerships - Liaise with key stakeholders internally & externally (including vendors, partners, government agencies and other organizations) to build a future focused Facility Management & Administration team delivering the best services.

  • You will be part of the Facility Management & Administration team for SKF
  • You will be supported by team members in Facility Management & Administration who will report directly to you

Education

 

  • Bachelor in any stream (Hotel management degree shall be preferred)

 

Experience

  • 8-10 years of experience in managing facility management & administration in mid-size organization (1500-2500 employees)
  • Preferably worked in IT / ITES organizations
