                                                                                                             Lead - Facility Management & Administration- Automotive Business

 

We are in the process of identifying a suitable candidate for the role of Lead - Facility Management & Administration. This role will be based in Pune and will report to Head - People Experience, Automotive India in the Interim.

This role focuses on the day-to-day execution and smooth functioning of Facility Management and Administration across our corporate locations in India. The ideal candidate will be hands-on, detail-oriented, and deeply involved in operational delivery to ensure our offices run efficiently, safely, and cost-effectively.

You will play a critical role in implementing administrative processes, coordinating services, managing vendor performance, and ensuring all facilities-related activities are completed on time and to high quality standards.

 

Key responsibilities (or What you can expect in the role) 

  1. Administration Management (PAN India) Partner with various SKF business teams to develop and implement effective administration policies and practices along with reviewing and updating the same on a regular basis. Develop, manage, control the budgets and managing vendors and partners.

 

The Administration function encompasses areas of work including –

 

    • Travel Management – Travel Partnerships, Airline contracts, MICE, Land Transport, Club Memberships, Hotels etc.
    • Expense Management - Forex Card, Corporate/Business Travel Account
    • Communication Management - Mobile Phones, COCP connections, data cards, landlines etc.
    • Insurance Management – Support in managing various employees & nonemployees SKF insurance policies for SKF In India.

 

  1. Facility Management (Location Pune and Gurgaon) – Develop and execute the right strategies for ensuring best in class facility management practices. This would include work areas like:

 

    • Soft Services – Pest control, Guest House Management etc.
    • Employee engagement Services
    • Hospitality Services – Events, Conference Facilities, 
  • Stationary management – Manage & standardize sourcing & supply for stationary for Pan India sites.
  • Billing & MIS – Responsible to ensure timely processing of invoices & payments to vendors in time for all areas in administration. Responsible to maintain a MIS for all expenses related to Facility Management & Administration for all sites.

 

 

  1. Execution Excellence - Lead the execution of organization wide initiatives for Facility Management & Administration, including formulating the process, aligning key stakeholders, and overseeing the transactions on-ground.

 

  1. People Management - Provide on-ground support to team members by guiding their day-to-day work, resolving operational issues, and ensuring smooth coordination across sites. Facilitate timely communication, work allocation, and adherence to defined processes.

 

  1. Partnerships - Liaise with key stakeholders internally & externally (including vendors, partners, government agencies and other organizations) to build a future focused Facility Management & Administration team delivering the best services.

 

Requirements (or We expect you to have/be) 

  • Candidate should be Bachelor in any stream (Hotel management degree shall be preferred)
  • 8-10 years of experience in managing facility management & administration in mid-size organization (1500-2000 employees)
  • Open for any industry (preferred manufacturing setup)

Some additional information 

This position will be in Pune. 
You will in the interim report to the Head - People Experience, Automotive India.
