Salary Range: $53,000.00 to $60,000.00

Summary:

The Operations & Logistics Administrator is responsible for supporting daily field operations through payroll administration, travel coordination, compliance management, job documentation, shipping support, and logistics coordination. This role works closely with the Operations Coordinator and field technicians to ensure efficient execution of customer projects and outage support activities.

 

Key Responsibilities:

  • Enter payroll data into ADP for Canadian and US employees
  • Maintain job databases and attach required project documentation
  • Update and maintain customer compliance systems including ISNetworld, Avetta, and ComplyWorks
  • Enter JSA and safety documentation into Intelex for management review
  • Coordinate technician travel including flights, hotels, and rental vehicles
  • Prepare and track US work visa and international travel documentation
  • Prepare shipping documents, customs paperwork, and carnets
  • Coordinate shipping and receiving activities
  • Assist with preparation and staging of field equipment
  • Support loading and unloading of trucks as operationally required
  • Maintain organized electronic and paper records
  • Assist with customer onboarding documentation and administrative requirements
  • Track completion of required compliance documentation
  • Provide administrative support to the Operations Coordinator and field service team
  • Assist with inventory and material tracking as required

 

 

Required Skills/Abilities:

  • 2–5 years of experience in administration, logistics, operations, or industrial service support
  • Strong organizational and multitasking skills
  • Experience working with Microsoft Office and administrative software systems
  • Ability to work in a fast-paced industrial service environment
  • Strong attention to detail and accuracy
  • Comfortable working around industrial equipment and warehouse environments
  • Experience with payroll systems, compliance platforms, or logistics coordination is considered an asset
  • Forklift experience or willingness to learn is considered an asset
  • Being on call is required. 

 

Education and Experience:

  • This position is based in an industrial field service environment supporting power generation, manufacturing, and heavy industrial customers.
  • The role includes both office-based administrative work and occasional operational support activities within the warehouse and shipping areas.

Physical Requirements:

  • Constant movement and standing for the duration of the shift.
  • Competitive salary range: $52,000–$60,000 CAD depending on experience, qualifications, and industry background.
